Notification Creator Overview

Notification Creator simplifies the creation and management of notifications. Users can customize messages, target specific recipients, and track engagement metrics. With features like scheduling and multimedia support, it streamlines communication within organizations or communities. Notification Creator is the 4th option in the “Apps” tab dropdown menu. If you do not have account access to Notification Creator, contact your IntelliBoard Administrator for more information.

To create a new notification using Notification Creator:

  1. Click the “Apps” tab to open the drop down menu of IntelliBoard apps.

  2. Select Notification Creator

  3. Click the “Create New” button Create New.png in the top left corner

  4. Fill out the form and “Send”

Name your notification. This is an internal name that will be stored in the Notification Creator.

Add your description here. We recommend listing the report attached, expected action taken with this information, and any internal policies related to this information. This is an internal description.

This is the source of recipient information. Options include:

Distribution List (formerly Control Report): which allows your to choose which dataset to provide recipient information.

Enter Recipients: Will pop up “Email” field to manually add specific email addresses. Hit enter after each email address to add more.

SFTP: Will pop up “SFTP Connection” and “SFTP Pathway” fields to use recipient information from SFTP.

When using “Distribution List” for “Sent to” recipients. This field populates with a drop down menu to select which dataset you want to pull recipient information. The limit for the distribution list is 1000 emails.

This button shows only when using “Distribution List” as the “Send to” for recipients. You can set filters for who receives this email using filters from within the report chosen from “Distribution List” drop down menu.

Automatically populates with “Email.”

Drop down menu to select which contact information of the dataset you want to use. Some datasets include learner email, instructor email, and parent email. This enables to choose which role you want to receive the notification.

The subject line that will show to recipients. Placeholders are available to personalize the message to each recipient.

This is part of the attachment field. A drop down menu of your datasets and dashboards appear to choose from. This dataset will be attached to the email. You do not have to include an attachment.

To set filters, click "Set Filters" button.  Each filter that is in the report will populate under "Attachment Filters". The attached report is filtered based off the selections you make here (and NOT what has been selected in the report itself). Clicking "Reset" will remove all filters and send the full dataset. You do not have to include an attachment.

Only shows as an option when using “Distribution List” as it pulls role information from the chosen Distribution List. Select the role you wish to receive the attachment. You can clone and edit this notification to set up a different role to receive the attachment.

This is the type of file the attachment will be sent as. File type options are: XLXS, CSV, or PDF

Send Only on Demand: Select this if you want to save the notification for future use, but do not want to send it on a schedule.

Do Not Send Empty Report: Select this if you don’t want the notification to send if the attachment is empty. For example, if the report is At-Risk Students and no students currently meet the at-risk filters, the report would be empty and would not be sent.

Log InContact: Select this to log contact in InContact. A pop up will appear to select the “Communication” type and “Behavior” if needed.

Select the dates for this report to be sent with the calendar pop up. This is the time period you want the report sent, perhaps a semester or academic year. You will set the frequency in the next field.

Select how often you’d like the notification sent: hourly, daily, weekly, second weekly, monthly, quarterly, yearly. Additional components will appear based on your selection to choose day of the week and time to be sent, when applicable.

You have the option to “Save” this notification and it will send as scheduled in the previous section or you can “Save and Send Now” to send it now as well as save it to send as scheduled in the previous section. “Cancel” will close the form and information you created will not be saved.

Yes. When using a distribution list to send notifications, the distribution limit is 1000 emails.

If utilizing quick send, the distribution limit is 100 emails.

Yes! You can set up scheduled notifications

The History Button is located on the right hand side of the screen next to Create New. Select this option if you want to view what notifications were sent, the description included with them and when they were sent. This is an overarching view of all the notifications that have been sent.

In the homepage of Notification Creator, you will see a list of your notifications. In the last column of each notification, you’ll see “Actions” with three dots. Click on the three dots to show actions:

Trigger: Sends the notification

Clone: Copies the notification so you can edit it for an additional notification. For example, you may use the same set up but need to schedule the same content to send to two different roles. Be sure to update title and description to reflect changes.

Edit: Opens the notification to make edits

Delete: Deletes the notification from the page and will no longer send scheduled notifications.
