Notification Creator allows you to send datasets via email. These can be sent as an email attachment either on demand or scheduled.

Shortcut “To schedule/automate a notification with data as an attachment

To send a notification on demand/instantly (not scheduled) with data as an attachment:

  1. From within any dataset, click the “Share” button in the top right corner, above the column headers.

  2. Click “Email” from the dropdown menu.

  3. Fill out the notification form and click “Send” button.

 1. Email

Add the email addresses for anyone you wish to receive this notification. Hit enter after each email address to add more.

 2. Subject

The subject line that will show to recipients. It automatically populates with the title of the report but can be edited.

 3. Attachment

This is the type of file the attachment will be sent as. File type options are: XLXS, CSV, or PDF

 4. Message

The body of the email message that will show to recipients.

 5. Send

Click "Send" to send the email or "Cancel" to abort and return to the dataset.

To schedule/automate a notification with data as an attachment

  1. From within any dataset, click the “Share” button in the top right corner, above the column headers.

  2. Click “Schedule” from the dropdown menu.

  3. Fill out the notification form and click “Send” button.

 1. Notification Name

Name your notification. This is an internal name that will be stored in the Notification Creator.

 2. Description

Add your description here. We recommend listing the report attached, expected action taken with this information, and any internal policies related to this information. This is an internal description.

 3. Send to

This line automatically populates with “Enter Recipients.” This has been selected for you because you are scheduling a notification with an attachment of the dataset.

 4. Email

Add the email addresses for anyone you wish to receive this notification. Hit enter after each email address to add more.

 5. Notification Subject

The subject line that will show to recipients.

 6. Notification Message Body

The body of the email message that will show to recipients.

 7. Dataset

This is part of the attachment field. This field is preselected based on the dataset you scheduled from. This dataset will be attached to the email.

 8. Filters

To set filters, click "Set Filters" button.  Each filter that is in the report will populate under "Attachment Filters". The attached report is filtered based off the selections you make here (and NOT what has been selected in the report itself).  This allows you to use the same report with different filters for different notifications.  This also allows you to run the report on demand and not change the data that will be sent in the automated report.   Clicking "Reset" will remove all filters and send the full dataset.

 9. File Type

This is the type of file the attachment will be sent as. File type options are: XLXS, CSV, or PDF

 10. Parameters: Send Only on Demand, Do Not Send Empty Report, and Log InContact

Send Only on Demand: Select this if you want to save the notification for future use, but do not want to send it on a schedule.

Do Not Send Empty Report: Select this if you don’t want the notification to send if the attachment is empty. For example, if the report is At-Risk Students and no students currently meet the at-risk filters, the report would be empty and would not be sent.

Log InContact: This selection is greyed out as the attached data is not associated to and sent to one specific user and cannot be logged through InContact.

 11. Start and End Date

Select the dates for this report to be sent with the calendar pop up. This is the time period you want the report sent, perhaps a semester or academic year. You will set the frequency in the next field.

 12. Notification Schedule (Frequency)

Select how often you’d like the notification sent: hourly, daily, weekly, second weekly, monthly, quarterly, yearly. Additional components will appear based on your selection to choose day of the week and time to be sent, when applicable.

Frequently Asked Questions:

 What controls the data within the attachment?

The filters set in the “Attachment” section of the notification creator form, NOT the filters in the report itself, control what data is populated in attached report.

 What email address are notifications sent from?

Email notifications are sent from NoReply@IntelliBoard.net. Please allow/accept this email as a Safe Sender for your organization.

 Can I change the email that sends the notification?

Per best security practice, we are unable to change the email address from which notifications are sent. You can add reply to email information to your signature that will be included in all sent notifications.
